The Layout and Organization of the Attendance Screen

Note: Some new users make the mistake of trying to use attendance features of ChurchTrac before setting up the nuts and bolts that ensure the attendance features will work properly. For instance, you should not attempt to enter or add attendance records until you have entered all your names into the database (people screen), and properly set up your groups and classes (groups screen). Be sure to read and follow the setup instructions in the Groups Screen section of this user’s guide before proceeding with setting up attendance.

The Attendance Screen allows you to track attendance for groups and classes. There are two methods of attendance tracking: Detailed (who was present for each group,) and Count (the total number present for each group). The attendance tracking method is set for each group category using the groups screen (see the previous section of this guide for information on configuring groups and attendance tracking methods). Once you set a method for tracking the attendance (detailed or count) for a certain group category, it is not recommended that you change it, so choose wisely!

To view or edit existing attendance records, first select a group category from the group category list, then select an attendance event date. Records for that date are displayed on the right. If the group category you’ve selected uses the detailed attendance tracking method, you’ll be able to display the attendance records for each individual of a group by clicking on one of the group names, as displayed below:
