How do I Add, Edit, or Delete a Name?





Adding a New Name

To add a new name, click on the “Add a New Name” button at the bottom of the People screen.

Then type in the name. You can also enter the spouses’ name if applicable, and select the membership status. Then click “Add this individual.” ChurchTrac will automatically create a family name from the information you provided. If this is a new family that you are adding, click yes. If you click no, or if the last name already exists in the database, ChurchTrac will prompt you to add the new name to an existing family. If none of the existing families are correct, it will then create a new family.

You can also manually change the family assignment using the "Assigned to family" field. This is useful if you're adding a child who has a different last name from the parents or if you need to change a person from one family to another. You can also double-click on the "Assigned to family" field to open the family screen where you can create, edit and remove family names.

Once the name is entered and assigned to a family, you can select the new name from the list on the left and start adding their information. Their individual information goes in the top portion of the screen, and their family information such as address and phone number goes in the bottom portion of the screen.


Editing a Name

If you want to edit a name in the People screen, select the name from the list on the left side and click the blue "Edit the Selected Name" button at the bottom of the screen. This will allow you to change the spelling of the name. If you want to edit other information for this person, just click on that field on the right side of the screen and make the change. ChurchTrac automatically saves your changes.


Deleting a Name

To delete a name from ChurchTrac completely, click the blue "Delete the Selected Name" button at the bottom of the screen. Use this feature with caution, because there is no way to restore a deleted name. Also, when you delete a name, that person’s attendance records, contribution records, and other data are also removed. For this reason we recommend changing a person’s status to "Inactive" on the General Information tab instead of deleting them from the database.
