Security Options: Two methods for Securing your Data

ChurchTrac offers two methods for securing your data and preventing unathorized access to the program. You can learn more by watching the video, or reading below.



ChurchTrac has two options for security. These options can be accessed by clicking on Utilities, then Security Management.

The first option is the default choice, and is the password security method (see option 1 above: "Choose which screens to password protect and which screens are accessible without requiring a password"). This allows you to require passwords to access certain screens or features in ChurchTrac. You can turn these passwords on and off on a per-computer basis. This password security method works best if you don’t need password security at all, or if only a few screens need to be password protected.

If you choose this method, the first thing you will want to do is set up the Administrator password by clicking on “Change Administrator Password.” The Administrator password can be used to access all the screens.  Then select the screens that need to be password protected and change the corresponding passwords.

Each screen or feature can have a different password. To remove the password protection from any of the screens, uncheck the box.  The Administrator password is required to make this type of change. Note, if you use multiple computers with this security method, you will need to set these options on each computer.

The second security option is the log-in method (see option 2: "Require each person to log on with their own user name and password"). This recommended method requires everyone who uses ChurchTrac to enter a user name and password each time they open the program. The user name and password that is entered then determines which areas of the program can be accessed and which areas are off limits for that user.

This option works best if you have multiple users and need to specify who has access to which areas without having to remember multiple passwords. If you use the data sharing feature, ChurchTrac will automatically synchronize the user names and passwords you create to the other computers in your data sharing network. This allows the administrator to control who has access, even on remote or offsite computers.

The second option also allows you to to create "read-only" users, or users who can log in and view data, but not make any changes.

Remember, the default password is always 1234, and you should change this password for all accounts, including the Administrator accounts, as soon as possible.
